Determining event size
A Viking show can be any size to suit a client’s budget but the Society classifies shows in respect of who is needed from within the Society to do the show.
Classifications
Group Minor
Is one of any size that a group can do on their own with their own resources. Should the host group not be of sufficient size to accommodate the requirements of the client, then the host group may invite participants from neighbouring groups to make up the minimum numbers required by that client. The maximum invitation area is limited to 100 miles from the event location. The event is negotiated, organised and run solely by the group. The insurance payment to the Society for a group minor event is 10% of the fee received from the client and/or from any other source.The REC and SEC will be available at all times to offer advice and guidance.
Is an event where the host group requires assistance from only 1 or 2 neighbouring groups but does not need to invite more than 3 groups to participate. The host group is encouraged to share the event with the invited neighbours in respect of revenue to the benefit of all participants. The fee limit for such an event is £1,000.00; any fee over this limit would move the event into the “Medium” classification. The insurance payment to the Society for a shared minor event is 10% of the fee received from the client and/or from any other source.
Group Medium
A Medium show is one of any size that a group needs help with but which does not need the whole Society. A host group can invite other groups from or near their area to help, or the show can be thrown open to the entire Society with prior permission from the SEC.
The maximum invitation area is limited to 100 miles. Any help needed should be discussed with the local groups and the REC/SEC to ensure that the show is properly attended. The insurance payment to the Society for a shared group medium event is 15% of the fee received from the client and/or from any other source.
Society Medium
If a show is larger than a medium event, or if you wish a medium to be opened up to the whole Society, then the Society can take responsibility for the show and make further and final arrangements, although you will of course be kept informed and might be asked to take care of organisation at a local level on behalf of the Society. No fee to the society is due from group.
Major Show
A Major show is one that requires a substantial turnout of the Society. Invitations are sent to the whole society. It is run by Society Heads of Department (HODs).
Mega
An event either organised by the Society or committed to by the Society to such an extent that we have the capacity for the entire Society to attend. No other events will be allowed on this date.
Where there is a limitation on invitation areas to minor and medium events, this can be amended at the discretion of the SEC as it may be a necessity to invite particular groups to meet client requirements, such as groups who are particularly known for their large warrior numbers or excellent living history display.
Additionally, it may be necessary to invite groups from further afield for those groups which are geographically more isolated and this will be considered by the SEC and REC team.
Invitations to events must be made in private, not on vMail, Jarls List/WhatsApp or other social media platforms. Advertising of events to proactively gain attendance of other groups/members is not allowed. Once members have been properly invited in accordance with the guidance above, information regarding that event can be forwarded to them directly.
On a case-by-case basis we may allow groups to advertise events contrary to the guidance above but do not take this for granted. The Events team are sometimes juggling events and want to allow everyone to put on their show and enjoy their hobby but sometimes, this is only possible with certain restrictions in place.
